Duties

Clerk / Notary Public Duties
  • Township legislator required to participate and vote on all issues.
  • Maintains custody of all township records.
  • Maintains general ledger. 
  • Prepares warrants for payables and payroll for Township checks (all checks require a signature from the clerk’s office and the treasurer’s office.
  • Records and maintains Township meeting minutes.
  • Keeps Township book of oaths.
  • Responsible for regular and special meeting notices.
  • Publishes Board meeting minutes.
  • Must be state certified to conduct elections.
  • Keeps Township ordinance book.
  • Prepares financial statements.
  • Verifies monthly reconciliations done by Treasurer. 
  • Delivers tax certificates to Supervisor and County Clerk.
  • Must appoint a deputy.
  • Must post a surety bond.

Elections:

  • Township “department head” for elections (budgeting and preparation for equipment, software, training, internal staffing, etc.)
  • Chairs the township Election Commission, which appoints election inspectors and conducts specific other pre-election functions. 
  • Voter registration (done year ‘round, including specific hours during 14-day prior to an election, early voting days, and Election Day). 
  • Qualified voter file maintenance and updating.
  • Candidate and Local Proposal Petition Filings.
  • Publishing and posting election notices.
  • Absent voter process-list, applications and ballots. 
  • Process military and overseas voters (MOVE).
  • Ballot proofing.
  • Preparation and programming of election equipment (Electronic Pollbook; working with Election Commission on equipment for Preliminary and Public Tabulation Accuracy Tests).
  • Election day issues (including early voting days).
  • Closing the Polls/Precinct Canvass.

 

OTHER DUTIES AS ASSIGNED:  

  • FOIA Coordinator
  • Cemetery Coordinator 
  • Notary Public
  • Responsible for all election workers and training.
  • City Cooperative Agreement Liaison.
  • City Water and Sewer Agreement Liaison. 
  • Attends continuing educational classes to maintain Michigan Professional Municipal Clerk certification 
  • Employee personnel/HR functions
  • Prepares and assists with required annual financial township audit

14 Days Prior to Election through Election Day 8:00 p.m., voters may only register by visiting their local clerk’s office to register in person with proof of residency documentation.  

Up to 15 Days Prior to Election – Voters can register at any Secretary of State office, any State designated agency, County Clerk’s Office, Township Clerk’s Office, mail or internet.

Election Day Information

Election Day Polls are open for voting from 7 am to 8 pm at Oneida Charter Township Hall located at 11041 Oneida Road, Grand Ledge.

Absent Voter Ballot Information

Request an absent voter ballot online: https://mvic.sos.state.mi.us/AVApplication/Index 

Applications available: 75 days before election.
Ballots available to be issued: 40 days before election.
Applying by mail: Recommended to submit at least 2 weeks ahead of election.
Applying in person: Ends at 4:00 pm on the day before election.
Absentee Ballots Due: 8:00 pm on Election Day or postmarked by Election Day.

Early In Person Voting Information

Michigan law requires at least nine days of early voting available to all voters two Saturdays before Election Day and ending the Sunday before Election Day in statewide and federal elections.  Oneida Charter Township voters may early vote at the Eaton County Early Voting Site located at: Carmel Township Hall, 661 Beech Highway, Charlotte, MI 48813.

Military and Overseas Voter Information

The Uniformed and Overseas Citizens Absentee Voting Act (UOCAVA) of 1986 protects the voting rights of members of the Uniformed Services (on active duty), members of the Merchant Marine and their eligible dependents, Commissioner Corps of the Public Health Service, Commissioned Corps of the National Oceanic and Atmospheric Administration, and U.S citizens residing outside the U.S.  The Federal Voting Assistance  Program (FVAP) works to ensure Service members, their eligible family members, and overseas citizens are aware of their right to vote and have the tools and resources to successfully do so-from anywhere in the world.

Address Change

Moving to another address within the Township?
If you are moving from one address to another within the township, you must change your voter registration address.  You may do so by completing the address change form and returning it to the Clerk’s Office, or by calling the Clerk’s Office at (517) 622-8078.

Moving to another community?
If you move from Oneida Township to another community, you are required to register to vote in your new comm unity or you may go to any Secretary of State branch office.

To vote in any election, you must be registered or change your address at least 30 days prior to the election.
